Is online bookkeeping safe?

It's the first thing every careful owner asks about handing financial data to someone they've never met. Here's the specific answer, not a reassuring shrug.

The bank connection is read-only. Feeds sync one way: a bookkeeper can read and categorize transactions but cannot move money to or from your account — that's Intuit's own description of how QuickBooks bank feeds work. We operate at book level, never inside your bank's portal.

Your books sit on bank-grade infrastructure. QuickBooks Online and Xero encrypt data in transit and at rest (AES-256) and run on independently audited platforms (SOC 2, ISO 27001), with multi-factor login. Honest note on residency: your working file sits on U.S.-based, audited infrastructure (QuickBooks keeps a Canadian backup) — it isn't "stored in Canada," but it is protected to bank standards.

Handled under Canadian rules. Financial data is treated as sensitive under PIPEDA, and your records stay CRA-ready — readable, electronic, six years.

Is online bookkeeping safe?
Yes. Your bank feeds are read-only, your data is encrypted in transit and at rest on independently audited platforms (SOC 2 and ISO 27001), and access uses multi-factor login. Financial data is also handled under Canada's privacy law, PIPEDA.
Can my bookkeeper move money if they connect to my bank?
No. Bank feeds are read-only and one-way: they import your transactions so they can be categorized and reconciled, but they cannot move money. We work at the book level inside your accounting software, never inside your bank's portal.
Is my data stored in Canada?
Honestly, mostly not. Your working QuickBooks Online or Xero file sits on U.S.-based, independently audited infrastructure, though QuickBooks keeps a backup of Canadian customers' data in Canada. Either way it is encrypted to bank standards and handled under Canadian privacy rules.
Do I need to be tech-savvy to use an online bookkeeper?
No. Onboarding is a screen-share call, sending a receipt is a photo from your phone, and we set up the bank feeds and apps for you. If you can use online banking, you can do this.
Do I get my own QuickBooks or Xero file?
Yes. You own the subscription and we work inside it as a guest at bookkeeper level. You remain the primary administrator, and if you ever leave, you keep the file, the history, and every document.
What if I prefer meeting someone in person?
You still get one consistent, named bookkeeper on every video call, plus live books you can open any time, which is more visibility than a monthly drop-off. And if you are near our Ajax base, we can meet in person across Durham Region.
How is this different from just using the software myself?
The software imports your transactions; a bookkeeper supplies the judgment. We categorize each transaction correctly, reconcile every account to the statement, catch problems early, and prepare and file your GST/HST, so the numbers are actually right.
